Value Stream Mapping in an Administrative Environment

Learn the methodology used for analysis, improvement and management of your administrative value streams

Course Description

More than ever before, today's office and administrative environments represent significant improvement potential. When you consider that 75% of an organization's opportunity for waste elimination can be found in areas other than manufacturing, it is vital that you begin to look at your up-stream and down-stream transactional administrative activities in your quest to become a Lean enterprise. Less visible than on the shopfloor, waste and inefficiencies are pervasive in administrative flows and lead to long customer response times, long lead times and quality problems. All too often we overlook these inefficiencies and lack of standard procedures creating an environment that operates with a permanent sense of urgency. The cost for running a business this way is high and often difficult to see.

Administrative Lean Flow Management is a structured approach for the analysis, improvement and management of your administrative processes, allowing you to maximize performance by:

  • focusing on the critical activities found in each transactional value stream

  • optimizing the principles of flow production to the transactional environment

  • using value stream mapping to identify and share process waste and improvement opportunities

  • applying a structured approach to Lean implementation

This workshop, taught using lecture, group discussion and simulation will teach the value stream management technique and how it is applied in a transactional environment.

Learning Objectives

This workshop is designed to help participants:

  • understand the improvement potential in their office and administrative activities

  • learn to use Lean tools and techniques for the improvement of service flows

  • see and visualize the constraints and dysfunctional activities in the current flows (current state)

  • systematically apply the Lean principles of lead time reduction and productivity improvement to your administrative flows

  • identify the performance indicators specific to administrative and service flows

  • create an improvement plan and develop an optimized flow (future state)

  • identify the priority actions

Who Should Attend
Office Managers, Human Resources Directors and Managers, Quality and Continuous Improvement Directors and Managers, as well as representatives from other administrative functions responsible for building a continuous improvement culture in their areas.

Workshop Agenda

Getting Started:

  • define office activities, silos and value streams
  • current state mapping
  • identifying problems specifically related to office and service activities
  • addressing productivity losses in administrative and service flows
  • future state mapping
  • creating a new office flow: the Lean Office

Administrative Lean Flow Management:

  • a structured approach for Lean Office implementation
  • definition of Lean Flow Management and transactional Value Stream Mapping
  • a different improvement approach for different process flows
  • how to start the improvement process

Implementation of Administrative Lean Flow through classroom simulation:

The Tool Toy office simulation is based on a real enterprise experience, and shows the conversion of a traditional order processing flow to a Lean order processing flow. Participants will discover how to convert a traditional administrative flow into a lean flow and the critical aspects of management needed to ensure success. They will experience demand analysis, flow constraints, productivity improvements and using Value Stream Mapping techniques, will create a current state map and identify key performance metrics. Then using the structured approach of Lean Flow Management they will identify a new and improved service flow.

Application:

  • Lean Management applied to administrative and service flows
  • Value Stream Management implementation steps in an office environment
  • how to transfer from current state to future state in the office
  • how to create continuous flows in service and administrative areas

Simulation continues as participants work to:

  • identify future state
  • apply future state flow
  • implement performance measures
  • discover problems and constraints

Flow Management in Service and Administrative Areas - Problems Encountered:

  • time allocation
  • activities scheduling (Heijunka box)
  • how to manage shared resources

Reflection:

  • continuous improvement - a foundation for optimizing administrative flows
  • standardization and knowledge management
  • standardized work
  • how to develop team activities
  • how to measure progress

Taking it home:

  • define the roadmap for development of a Lean culture in your facilities.

Cancellation Policy:
Registrations may be transferred to another colleague without charge.  To be considered for a refund, we must receive notification of cancellation in writing no later than 21 days prior to the start of the workshop.  Cancellations received within 21 days are subject to the full registration fee and money will be held on account for up to one year for use at a future workshop or conference.  There is a $200 processing fee for all cancellations.
